Managing Medical Records

Store, manage, and share patient medical records directly within the patient profile, with control over whether documents are internal or included in referral packets.

Managing Medical Records in the Patient Profile

Rovicare stores all medical records within the patient profile, allowing your team to securely access, manage, and share important documents as part of the referral process.

What Are Medical Records in Rovicare?

Medical records in Rovicare are stored as documents attached to a patient’s profile. These documents can include:

  • Clinical notes

  • Discharge summaries

  • Lab results

  • Any supporting documentation needed for care coordination

All records are securely stored and easily accessible when working on referrals.

Accessing Medical Records

To view medical records:

  1. Navigate to the Patient Profile

  2. Locate the Medical Records section

  3. Open or download documents as needed

You can download files directly to review or share outside of the platform when appropriate.

Access Types: Shared vs. Internal

Each medical record can be assigned one of two access levels:

Shared

  • Documents marked as Shared will be included when you send a referral

  • These records become part of the referral packet sent to the receiving organization

  • Use this setting for any information needed by referral partners to coordinate care

Internal

  • Documents marked as Internal are only visible to your organization

  • These records are not shared when sending referrals

  • Use this for internal notes or documentation that should remain within your team

Best Practices

  • Mark documents as Shared only when they are necessary for the receiving provider

  • Keep sensitive or internal-only information marked as Internal

  • Ensure all relevant documents are uploaded and properly categorized before sending a referral

Why This Matters

Properly managing medical records helps:

  • Ensure referral partners have the information they need

  • Reduce delays in care coordination

  • Maintain compliance and control over sensitive information
