Responding to a Referral on Behalf of Another Organization

Rovicare allows the organization that originally sent the referral to update or respond on behalf of the receiving organization when needed. This helps ensure the referral status stays accurate, even if updates are communicated outside of the portal.

When to Use This Feature

You may respond on behalf of the receiving organization if:

  • The provider shares an update via phone or email

  • The receiving organization is unable to access the portal

  • You are assisting with keeping referral statuses up to date

  • There is a need to maintain accurate and timely communication

How to Respond on Behalf of Another Organization

  1. Navigate to the Outgoing Workspace

  2. Locate the referral

  3. Click the blue Decision icon next to the patient’s name

  4. Enter the response based on the information provided:

    • Accept Patient: Yes, No, or In Review

    • Update Insurance Authorization Status (if applicable)

    • Add any relevant notes

  5. Click Submit

Best Practices

  • Confirm all information before entering a response

  • Use the notes section to indicate the update was provided on behalf of the receiving organization

  • Update the referral as soon as possible to avoid delays

  • Encourage organizations to use the portal directly when possible
