Responding to referrals in a timely and accurate manner is key to ensuring smooth care coordination. This guide walks you through how to review and respond to incoming referrals in the Rovicare portal.

How to Respond to a Referral

  1. Navigate to the Incoming Workspace

  2. Locate the referral you would like to review

  3. Click the blue decision icon next to the patient's name to open the referral

Review the Referral

Before responding, review all relevant details, including:

  • Patient information

  • Requested service and timing

  • Attached medical records

  • Any notes from the referring organization

You can also use the chat feature if you need clarification.

Submit Your Response

Within the referral panel:

  1. Select Accept Patient:

    • Yes – if you can accept the referral

    • No – if you are unable to accept

  2. Update the Insurance Authorization Status (if applicable)

  3. Add any notes or comments for the referring organization

  4. Click Submit

After You Respond

  • Your response will be reflected on both your workspace and the sender’s workspace

  • The referral status will update accordingly (e.g., Accepted, Rejected, In Review)

  • If accepted, you may proceed with scheduling or next steps as needed

Best Practices

  • Respond to referrals as quickly as possible to avoid delays in care

  • Ensure all information is reviewed before submitting your response
